Who we are

VocalStaff is a product of Group 4 Networks, a managed IT company based in Toronto, Ontario, Canada. Our office is at 18 King Street East, Suite 1400, Toronto, Ontario, M5C 1C4.

Privacy questions and requests go to privacy@g4ns.com.

Canadian privacy laws we follow

PIPEDA is Canada's federal private-sector privacy law. It asks us to collect only what we need, tell you why, get consent where it is required, keep information safe, and let you see or correct it.

Quebec Law 25 is Quebec's private-sector privacy law. It adds duties around clear consent, telling you when information leaves Quebec, and honouring requests to access, correct, or delete your information. If you are in Quebec, those rights apply to you.

VocalStaff is designed with these rules in mind. It is not a certified or audited compliance product. If you run a regulated practice, we will talk through your requirements during setup.

Information we collect

Contact and demo forms

When you send the contact form or request a demo, we collect your full name, work email, company name, phone number if you share one, and your message. We use this to reply, book a demo, and follow up about VocalStaff.

Voice AI demo through Vapi

You can talk to Riley, our on-site voice demo, which runs through Vapi. If you start a demo call, Vapi processes the live conversation, including your voice and the agent's replies, so the demo can run. We may also keep a simple record that a demo happened, such as a session identifier and timing, so we can keep the demo working and fair.

Please do not share health details, financial account numbers, government ID numbers, or other sensitive information during a public website demo.

Google Analytics

This site uses Google Analytics for analytics. It tells us which pages people visit and how they move through the site. Google Analytics loads for every visitor.

Microsoft Clarity

This site uses Microsoft Clarity for analytics. It shows us how people use the site, such as which pages are helpful. Microsoft Clarity loads for every visitor.

Cookies and how to opt out

Google Analytics and Microsoft Clarity use cookies to do this analytics work. You can opt out in your browser cookie settings by blocking or deleting cookies for this site.

You can also install the Google Analytics opt-out browser add-on. That add-on tells Google Analytics not to collect your visits in that browser.

Why we use this information

We use the information above to:

  • Answer questions and schedule demos
  • Run the live voice demo when you start one
  • Understand which pages help visitors, using Google Analytics and Microsoft Clarity
  • Keep the website secure and working

We do not sell your personal information.

How to opt out of analytics

This site uses Google Analytics and Microsoft Clarity for analytics on every visit. They help us see which pages are useful.

You can opt out with your browser cookie settings. Block or delete cookies for vocalstaff.ai in the browser you use.

You can also install the Google Analytics opt-out browser add-on. It stops Google Analytics from collecting your visits.

Sending a form or starting a voice demo is separate from analytics. We use that information to provide the thing you asked for.

How long we keep information

We keep contact and demo form details long enough to reply and for a reasonable follow-up. We then delete them when they are no longer needed.

Voice demo technical logs are kept only as long as we need them to run and protect the demo.

Analytics data follows the retention settings in Google Analytics and Microsoft Clarity. Cookies already stored for this site can be removed in your browser cookie settings.

Companies that help us

These companies process information on our behalf:

  • Google, for Google Analytics 4
  • Microsoft, for Microsoft Clarity
  • Vapi, for the voice AI demo
  • Netlify, for hosting this website and processing the contact form

They are allowed to use the information only to provide their service to us.

Information sent to the United States

Google, Microsoft, Vapi, and Netlify are based in the United States. If you visit the site, send a contact form, or start the voice demo, some information may be stored or processed in the US.

PIPEDA and Quebec Law 25 ask us to be clear about this. Information that leaves Canada or Quebec may be subject to US law.

Your rights

You can ask us to:

  • Tell you what personal information we have about you (access)
  • Fix information that is wrong (correction)
  • Delete information we no longer need (deletion)

To opt out of analytics, use your browser cookie settings or the Google Analytics opt-out browser add-on, as described above. To make an access, correction, or deletion request, email privacy@g4ns.com. We may need to confirm it is you before we act. We will respond within the time PIPEDA and, where it applies, Quebec Law 25 require.

If you are not satisfied, you can contact the Office of the Privacy Commissioner of Canada, or Quebec's Commission d'accès à l'information if you are in Quebec.
